Why we collect it, and our legal basis
We collect this information to:
Respond to enquiries and arrange trial classes
Register and manage your (or your child's) membership, licence, and insurance
Run classes safely, including being aware of any relevant medical information
Meet our safeguarding obligations to students, particularly children
Meet our legal obligations around instructor vetting (DBS checks)
Our legal basis for most of this is that it's necessary to provide our services to you (contract), and in the case of safeguarding and instructor checks, to meet our legal obligations. Where we ask for medical information, we do so with your explicit consent.
Children's data
We teach students from age 8. Where a student is under 13, we collect and process their information based on consent given by a parent or guardian at the time of registration. Parents or guardians can contact us at any time to review, update, or ask us to delete their child's information, subject to our safeguarding and insurance record-keeping obligations.
Instructor and DBS data
DBS check results and safeguarding training records are held securely and used solely to meet our safeguarding responsibilities and insurance/accreditation requirements through the British Combat Association. This information is not shared beyond what's required for these purposes.
Who we share your information with
The British Combat Association, for the purposes of your annual licence and insurance registration
Squarespace, our website hosting provider, who processes website form submissions and basic analytics on our behalf
We do not sell or share your personal information with any other third party for marketing purposes
How long we keep your information
We keep membership and registration records for as long as you're an active student, and for a reasonable period afterwards to meet our insurance and safeguarding record-keeping obligations. Contact form enquiries that don't lead to membership are kept for a shorter period and then deleted.
Cookies
Our website, hosted on Squarespace, uses cookies to help it function properly and to understand how visitors use the site. You can control or disable cookies through your browser settings.
